We are looking for an experienced, strong, robust Team Assistant who will thrive in a busy, fast-paced role.

About the role

Reporting to the chief operational officer, you will be responsible for complex diary and email management as well as managing confidential documentation across the CMS network. You will also work on the full range of marketing and business development activities. You will be expected to build relationships with internal and external clients and handle all issues in a professional and calm manner.

We have an opportunity for a Team Assistant to join us, providing a high-quality and efficient secretarial service. Reporting directly to the Chief Operational Officer, your responsibilities will include diary and email management for the fee-earners in your team, as well as managing confidential documentation across the CMS network, travel arrangements, marketing and business development activities. Other tasks include, but are not limited to:

Dealing with various requests from fee-earners, including document styling and editing, preparing basic documentation, processing expenses, etc.
Maintaining fee-earners’ diaries and working with contacts (Outlook and CRM system)
Liaising with Business Development/Marketing, Admin and Finance Teams to support them on specific team-based tasks
Booking attendance at conferences/seminars (internal and external) (including national and international travel), and organising trip itineraries and logistics
Assisting the Business Development team as required, including helping produce tenders, credential sheets, events, pitches, etc. as well as marketing events
Preparing agendas, presentations, and meeting papers specific to fee-earners
Maintaining and enhancing relevant data in the firm’s systems regarding contacts, credentials, pitches, tenders, and fee proposals
Supporting and assisting business development projects (brochures, publications, newsletters, etc.)
Supporting our media work and social media pages
Writing and editing various texts such as press releases, brochures, mailings, newsletters, etc.

About you

As a Team Assistant joining a large international firm, you will have substantial experience in working in a busy corporate environment, preferably a law firm. You will have excellent organisational and time management skills with the ability to adapt your communication style whether to support clients or your team members.

You will be flexible and adaptable with a good aptitude for using your initiative and also a strong team player who goes above and beyond. You are someone who is comfortable in a busy role but confident to delegate to juniors and supporting teams, ensuring you are working as effectively as possible for the work providers you support.

We are looking for an energetic, proactive and enthusiastic individual with a high level of technical expertise. Strong business English and an excellent knowledge of Ukrainian is also required. We are looking for someone who can remain calm under pressure and is able to manage and prioritise competing demands.

We will consider candidates who:
Graduated with Bachelors/Specialist or Master’s degrees from a reputable University in Ukraine
With at least one-to-two years’ experience in an international company/institution
with fluent English and Ukrainian
